Pay Range: $24-$26/hour
Position Summary:
The Office Manager provides leadership and oversight for the church’s administrative operations, ensuring that office systems, staff coordination, and organizational processes effectively support the mission of the church. The Office Manager plays a key role in ensuring the church operates efficiently and with excellence through its staff and organizational resources so pastors and ministry leaders can focus on shepherding and ministry leadership.
Key Responsibilities:
Human Resources Collaboration – 30%
- Participate on the HR team including hiring, onboarding, and offboarding processes.
- Maintain employee records and administrative HR documentation.
- Coordinate open job postings, interviews, and new staff onboarding.
- Support staff training, documentation, and HR policy implementation.
- Worker’s compensation coordination and reporting.
Executive Administration – 20%
- Provide high-level administrative support to the Lead Pastor and church leadership (staff senior leadership team and the elder board).
- Manage Lead Pastor calendars and correspondence, as needed.
- Handle confidential communications and sensitive information with discretion.
- Provide elder board support as needed for monthly meetings, nominating committee, board affirmation and search team.
- Plan and coordinate special / seasonal staff-wide or elder board events.
Office Operations & Administrative Staff Oversight – 20%
- Oversee the daily operations of the church office.
- Manage Office budget, invoices, and check requests.
- Establish and maintain efficient office systems, procedures, and workflows.
- Coordinate office scheduling, supplies, and administrative resources.
- Foster a culture of professionalism, teamwork, and ministry-minded service.
Policy, Documentation & Compliance – 20%
- Maintain and organize key administrative documentation, policies, and procedures.
- Oversee archive of institutional knowledge and records.
- Support development and implementation of administrative and HR policies.
- Maintain organized staff and administrative records.
- Assist with document retention and compliance-related documentation.
- Custodian of Records for the church’s DOJ database (Applicant Agency Justice Connection).
- Ensure proper handling and confidentiality of sensitive records.
Church Management System (ChMS) Leadership – 5%
- Serve as the master administrator for the church management system.
- Maintain accurate records for members, attendance, groups, and volunteer engagement.
- Train staff and ministry leaders on proper use of the system.
- Generate reports and insights to support ministry planning and decision-making.
- Ensure data integrity, security, and appropriate use of church data.
Other Ministry Support – 5%
- Attend all-staff meetings and training sessions.
- Departmental administrative support, as needed.
Qualifications:
Required
- Strong commitment to the mission and values of the church
- Experience in office management, operations, or executive administration
- Excellent organizational and project management skills
- Strong interpersonal and leadership abilities
- Ability to manage confidential information with discretion
- Experience supervising or coordinating administrative staff
- Proficiency with office software and database systems
Preferred
- Experience working in a church or non-profit ministry environment
- Experience with a Church Management System (Pushpay / Church Community Builder)
- Familiarity with HR processes or HR administration
- Strong interpersonal and leadership abilities
- Ability to manage confidential information with discretion
- Experience supervising or coordinating administrative staff
- Bachelor’s degree in business administration, non-profit management, or a related field
Work Environment:
This role operates primarily in a church office environment and requires regular interaction with staff, volunteers, and congregation members. Occasional evening or weekend availability may be required for major church events or ministry needs.
